**All vendors are required to sell tangible goods. Any informational or promotional booths that are not selling tangible items will only be allowed to participate as a sponsor of the Festival. For sponsorship information, contact festival@cityofcarrollton.com or visit carrolltonfestival.com.**

Required Hours of Operation:

• Purchase of booth space is for one day only: November 7, 2026 from 11 a.m. to 10 p.m.
• All vendors must be open and ready for business by 10:30 a.m., and are required to stay open until the end of the event. Vendors may not close early; a $250 fine will be imposed for vendors who leave before 10 p.m.

Restrictions:
The following items are not permitted:

• Sale of alcoholic beverages by anyone other than the official alcohol vendor
• Flashing lights, music, bullhorns, or hawking to the crowd
• Literature handouts, promotional items, and giveaways (unless given out only at your booth)
• Dumping any waste or liquids on the ground
• Trailers or smokers (unless given written permission by Festival Coordinator)
• Sale of tobacco products, weapons, or drug paraphernalia
• Fireworks
• Profanity of any kind
• The use of any candles, lamps, lanterns, or anything with an open flame (unless used for cooking in approved food booth). Decorative lights powered by batteries are acceptable. 
• Signs, banners, or displays of any kind relating to alcoholic beverages, religion, or politics (Vendor understands and recognizes that the Festival is for entertainment purposes only, is not a religious or political event, and is not an event that promotes or suggests any religious or political agenda.)
• All materials draped from the booth/tent space must meet fire codes and other public safety laws/codes, rules, standards, and regulations. 

Any of the above mentioned infractions will result in removal of booth with no refund and a fine of $250.

Other Requirements:

• It is recommended that you use propane-powered cooking/heating devices.
• Food vendors must have high visibility menus with offerings and prices to expedite ordering time.
• Vendor must remove and dump all grease and gray water into an approved container on site. If a vendor is caught dumping waste on the ground, it will result in immediate removal of the booth with no refund and a fine of $250 or more.
• All vendors must abide by all City/County Health and Fire Codes. Once accepted, vendors will be provided with applicable guidelines, including specific inspection requirements for food booths.
• Vendors are encouraged to use post-consumer waste products/recyclable materials. 
• Vendor booths will be reviewed/inspected before being allowed to open. 
• Event is rain or shine. Booth fee is non-refundable.
• An audit of your booth space is required before you leave the site. If a vendor’s area is found not to be cleaned upon departure, a future cleaning deposit of $250 will be required before you will be approved for another event. Contact the vendor coordinator before leaving the site.

Vendor Load-In/Out:

• Food Load-In: Friday, November 6, 6-8 p.m. Vendors must be offsite by 9 p.m. 
• Food Load-Out: All vendors load out after the conclusion of the event and must be out of the venue by 1:30 a.m.
• Art/Craft Load-In: Saturday, November 7, 8-10 a.m.
• Art/Craft Load-Out: All craft vendors load out after the conclusion of the event and must be out of the venue by 1:30 a.m. 

 Load-In/Out Notes:

• You will be notified of your load-in/out times approximately two weeks before the event. You may only load-in/out during your scheduled time, and the scheduled time will be within the timeframes stated above.
• Vendors with more extensive operations may be allowed to set up early.
• All vendors will be given a site loading permit to load in and out. Do not attempt to access the site without the vendor coordinator giving you final approval and a permit.

Day of Show & Load-In/Out:
The City of Carrollton has contracted with EPS (Event Production Services) to run all production aspects of the show. This includes vendor and site coordination, along with entertainment and backstage areas, for set-up, day-of show, and site breakdown. A specific vendor coordinator contact will be assigned and contact information communicated to each vendor at least two weeks prior to the event. 

Vendor Parking:

• Important Note: There is NO parking available by or behind vendor booths or anywhere on the site. You must unload and move your vehicle immediately. 
• There is vendor parking (on a first-come, first-served basis) located at N. Jackson Street and Belt Line Road just northeast of the Festival site. You must display the vendor parking pass through your windshield on your dash. You may not park within the footprint of the site or you will be towed.
• If you park on-site without proper credentials, your vehicle will be towed.

• Tent and Sign
  • For a branded and uniform look, tents and booth signs are provided for all vendors. These tents are held in place with heavy-duty water barrels. The Festival does not allow for staking into asphalt, so for safety reasons, pop-up tents and/or other portable awnings are not allowed. 
  • Trucks and trailers must provide their own signage unless a specific request is made to the Festival to do so. 
• Tables and chairs
  • For 10’x10’ booth: one (1)-8’ table and two (2) chairs
  • For 10’x20’ booth: two (2)-8’ tables and four (4) chairs 
  • These items must be signed for at load-in. 
• Water source to fill containers
  • This is potable water that is intended to be used for washing only and may not be used for human consumption.
• Health permit from City
• Electricity and power
  • One (1) 20-amp plug for sponsors and craft vendors, and three (3) 20-amp plugs for food booths
  • Additional power may be purchased for a fee; based on specific vendor needs.
• Dumpster or compactor nearby for solid waste
• Advertising
  • All vendors will be listed on the Festival website as well as in the event program.
  • Social media mentions (not guaranteed unless you are a Depot Master, Train Master, or Switchyard Master sponsor)

• Must be selling tangible items or goods. Booths may collect donations toward their organization’s cause; however, tangible items must be sold independently of collecting donations.

 Businesses Not Selling Tangible Items:

• Businesses not selling tangible items at the event may only participate in a sponsor booth (subscriptions, sign-ups, or lead generation efforts are not considered tangible goods). Miscellaneous Information:

• It is not necessary to send proof of insurance until you are notified of acceptance as a vendor.
• A Texas Sales and Use Tax Permit is required by anyone wishing to vend the event, and vendors are responsible for reporting their own earnings to the State as required by law.
• Vendors must provide all other gear, lighting, additional tables/chairs, etc. not covered above.
• All vendors, regardless of providing insurance, must sign a waiver of liability before being allowed to enter the Festival grounds.

Q: Which application do I fill out?

This depends on what your business sells and the set-up required. Vendors selling food who have a food truck or trailer should fill out a truck/trailer application. All other food vendors who serve from a tent set-up should fill out the food vendor application. 

Vendors selling artisan or handmade goods such as clothing, jewelry, artwork, pottery, trinkets, candles, etc. should fill out a craft/artisan vendor application. This also includes businesses who sell pre-packaged food items such as popcorn, candy, spices, cocktail mixes, jams/jellies, hot sauces, etc. 

Q: How much does a booth cost? 

All costs are included on the application.

Booth cost depends on the amount of space needed, power requirements, and other factors. Vendors who apply before Friday, July 31 will receive a $25 early bird discount. It is highly encouraged to apply early as the Festival at the Switchyard receives many applications.

Q: How do I get a health permit? 

Food vendors do not need to take any extra steps for a health permit before the event. The City of Carrollton provides a health inspection and permit the morning of the event for serving.
