The Library has a Multi-function Printer (MFP) customers can use to release print jobs, make copies, and scan to email or USB flash drive.

Be mindful of others waiting to use these shared-purpose devices as you use the equipment.

How-to

You can scan to email or USB drive. 

The email with scanned file comes from Library Scanner, a no-reply Library email address. If there is any chance at all the recipient might reply, then you must scan the document to your own email address. You can then forward the email to whoever you need to receive it.

  1. If Multi-function Printer screen is on Sign in to add credits to make copies screen, tap Home icon in upper left corner...

  2. Tap Scan button on Home Screen.

  3. Choose either Scan to Email or Scan to USB Drive.

  4. Insert USB drive in port on right side of Multi-function Printer if scanning to USB drive.
  5. Type a name for the scanned document in File Name field.
  6. Enter email address, subject line, and any message if scanning to email.
  7. Tap Options button if you want to change anything such as file type from PDF to an OCR type where you can edit the scanned document, add a watermark, etc. See Scan Options & File Types and File Types Descriptions sections below for more information.

  8. Tap Hide Options button when you finish so you can double-check File Name, email address, etc.

  9. Place document face down on scanner bed or face up in document feeder with guides against edges of paper.
  10. Tap the Preview area to see how scan will look.
  11. Tap Send button to send email...

    ...or Save button to save to USB drive.

  12. On Do you want to retain settings for the next job pop-up, tap Retain if you are scanning more files and do not want to retype information such as your email address or Clear if you are finished.

File types in bold with asterisk * are most commonly used file types. See File Type Descriptions section below for explanations.

File Type Descriptions

NOTE: Leave the File Type option as PDF for spreadsheets as OCR does NOT work well recognizing characters when they are scanned.

OCR, optical character recognition, converts an image of text such as a scan into machine-readable text you can edit and/or search.

The quality and clarity of the original document, including how stylized the font is, will affect the accuracy of the OCR file. You should compare the original document to the scanned file to check for text needing correction.

Below are the most commonly used file types you might want to choose.

  • PDF - retains exact appearance of document and is the default if you do not change
  • Searchable PDF (OCR) - retains exact appearance of document and can be searched but not edited
  • JPEG - image file format using lossy compression for smaller file sizes good for use on web or in email; change resolution from default of 200 to 300 dpi if JPEG will be printed
  • RTF (OCR) - text file that retains formatting such as bold, italics, fonts, colors, images you can edit in Word, Pages, Google Docs, etc.
